Corporate Records Health Check

You finish with an inventory of the records your company holds, a written list of where they no longer match what the company has actually done, and a responsibility calendar showing what falls due and who owns it. Each gap is listed with the work needed to close it, so you can decide what to fix and in what order.

Not sure this is the right document, or unsure what to put in a field?

Scope and deliverables

What this service includes

  • An inventory of the corporate records the company holds, and the ones it should hold but does not
  • A comparison of the registered position — directors, shareholders, capital, objectives, registered address — against what the company has actually done
  • Review of the board and shareholder meeting documents behind the changes already made
  • A written gap list, ordered by what matters, with the remediation work each gap would take
  • A responsibility calendar of recurring corporate obligations, and who owns each one
  • A recommendation on whether ongoing secretarial support fits, or whether one round of remediation is enough

What we need from you

Information required from the client

  • Company registration number and DBD certificate
  • Affidavit and current shareholder list, where you have them
  • Whatever board and shareholder meeting documents the company holds
  • A note of any change you believe was made without documents
  • The name of whoever has handled the company's records until now

Who it's for

Is this the right service for you?

  • Companies that have changed directors, shareholders or capital and are not certain the paperwork followed
  • New owners or new management inheriting a company whose records they did not create
  • Foreign-owned companies whose records have passed through several different providers
  • Companies preparing for an investor, a buyer or a lender who will ask to see the records

Limitations

What this service does not cover

  • The health check reports on the records provided and the registered position; it cannot report on a change that left no record anywhere
  • Remediation is separately scoped — the check identifies the work, it does not carry it out
  • It does not cover accounting records, tax returns, payroll or audit; those sit with your accountant or auditor
  • It is not a data protection, licensing or sector compliance review
  • It does not cover BOI post-approval obligations unless those are separately scoped with the responsible provider

How it works

The process, step by step.

  1. 01

    Tell us about the company

A short conversation about the company, its history and what prompted the check.

  2. 02

    Records request

You receive one list of what to send, and a secure place in your Corporly workspace to send it.

  3. 03

    Review

We compare the records you hold against the registered position and the changes the company has made.

  4. 04

    Written findings

You receive the records inventory, the gap list and the responsibility calendar, and a call to walk through them.

  5. 05

    Decide what to fix

Remediation is quoted gap by gap, so you can close what matters now and leave the rest.

Pricing

How pricing works for this service

The health check is a defined scope with a fixed professional fee, confirmed before work begins. Remediation work the check identifies is quoted separately, gap by gap, and agreed before it is carried out. Government filing charges are identified separately from the professional fee.
